How to prepare a digital catalogue for an exhibition

A buyer should be able to find the product you just showed them without asking which page it was on. Start there. Your exhibition catalogue needs to work just as well on a phone in a busy hall as it does on your office screen.

Put the products you are bringing within easy reach.

Use the PDF or product photos you already have as your starting point. Check the range against what will actually be at the stall: a discontinued finish or an old model number can send a conversation in the wrong direction.

Group products by the way buyers ask for them. A furniture buyer might start with lounge chairs; a packaging buyer might start with material or capacity. Product names and categories should make sense to someone who has never seen your internal codes.

Give every product enough detail for the next question.

A good photo gets attention. Dimensions, materials and order quantities help a buyer decide whether to ask for a quote. Keep those details next to the product instead of sending people to a separate specification sheet for the basics.

If prices depend on quantity or customisation, use “Price on request”. That is clearer than an old price that your team will have to explain later. Check any details extracted from a PDF before publishing, especially decimal points, units and prices.

Do one complete run on a buyer’s phone.

Ask a colleague who did not build the catalogue to use it. Let them find a particular product, read its specifications and send an enquiry. Watch where they hesitate. Fixing a confusing product name now is easier than explaining it at every meeting.
