1. Introduction

StallCatalog is a product of the FullGuest team (Codekik Technologies). References to "StallCatalog", "we", "our" or "us" in this Privacy Policy include Codekik Technologies, its parent company, subsidiaries and affiliates.

This policy explains how we collect, use, disclose and safeguard information when you use our website and platform. It covers two kinds of people: Exhibitors who create catalogues and hold accounts with us, and Prospects who open an exhibitor's catalogue from a link or a booth QR.

2. Prospect data belongs to the Exhibitor

When an exhibitor's staff enter a prospect's name and mobile number, or a prospect verifies a mobile number by WhatsApp OTP after scanning a booth QR, that contact data and the activity linked to it (catalogue opens, products viewed, searches, questions to the AI assistant, enquiries) is collected on behalf of the Exhibitor. The Exhibitor is the controller of that data; StallCatalog processes it as their service provider, under their instructions, to provide the catalogue and lead tracking.

We do not use prospect data to market to prospects ourselves, and we do not sell it. If you are a prospect and want your data corrected or deleted, contact the Exhibitor whose catalogue you opened, or write to us and we will forward your request to them.

3. Information We Collect

From Exhibitors:

• Account details: name, company, email, mobile number, password (hashed)
• Catalogue content: uploaded PDFs, product photos, extracted products, specs and prices, branding
• Staff logins added to the account, and which invites each staff member sends
• Billing details for paid plans (payments are handled by our payment provider; we do not store card numbers)

From Prospects:

• Name and mobile number entered by exhibitor staff, or verified by WhatsApp OTP
• Catalogue activity: pages and products opened, searches, enquiries and questions to the AI assistant
• Device and browser information, IP address and approximate location, cookies and similar technologies

4. How We Use Information

• To build, host and deliver catalogues and personal invite links
• To send WhatsApp messages and OTPs that an exhibitor or prospect has requested
• To show exhibitors who opened their catalogue, what was viewed and what was asked
• To produce expo reports and lead exports for the exhibitor
• To power the optional AI assistant, which answers questions from the exhibitor's catalogue content
• To send transactional emails about an exhibitor account (welcome, password reset, receipts)
• To operate, secure and improve the platform, and to comply with legal obligations

5. Information Sharing

• Exhibitors: prospect contact and activity data is shown to the exhibitor whose catalogue was opened, including the staff member who sent the invite
• Service providers: hosting, messaging (WhatsApp Business), AI model providers for extraction and the assistant, analytics and payment processors, each bound to process data only for us
• Legal requirements: when required by law or to protect our rights

We do not sell personal information.

6. AI Processing

Catalogue PDFs and photos are sent to AI model providers to extract products, specs and prices. Prospect questions to the AI assistant are sent to a model provider along with the relevant catalogue content to generate an answer. We do not use your catalogue content or prospect questions to train models.

7. Data Security and Retention

We use appropriate technical and organisational measures to protect information. No method of transmission over the Internet is completely secure, and we cannot guarantee absolute security. We keep exhibitor accounts and their catalogue and lead data for as long as the account is active and for a reasonable period afterwards for legal and business purposes; exhibitors can delete leads or their whole account from within the platform or by writing to us.

8. Your Rights

Subject to applicable law, you may:

• Access the personal information we hold about you
• Correct inaccurate information
• Request deletion (subject to legal requirements)
• Opt out of marketing communications from us
• Withdraw consent where processing is based on consent

To exercise these rights, write to hello@stallcatalog.com. Prospect requests are forwarded to the relevant exhibitor where they are the controller.

9. Cookies

We use cookies and similar technologies to keep you signed in, to recognise a prospect's personal link on return visits, to analyse usage and to remember preferences. You can control cookies in your browser settings.

10. Children's Privacy

The platform is intended for business use and is not directed at children under 13. We do not knowingly collect information from children under 13.

11. Changes to This Policy

We may update this policy from time to time and will post the new version on this page with an updated date.
