# How to follow up with buyers after an exhibition

A buyer opens your link on the train home. A colleague takes another look on Monday. Your catalogue is still in their WhatsApp. The useful question now is who needs a reply, what they are interested in and what you promised them at the stall.

## Start with the people waiting for something.

Before sending a general thank-you, pull together the requests you already have: a quote, a specification, a sample or a call. Give each one an owner and a due date. A buyer waiting for dimensions needs those dimensions, not another introduction to your company.

Review the day’s contacts while your staff still remember the conversations. Add the details that will matter later: the intended use, likely quantity, delivery location and any timing the buyer actually mentioned. Leave unknowns as unknowns.

- Reply to explicit quote and product questions first.
- Send anything your team promised at the stall.
- Assign each follow-up to one person.
- Agree on the next action and when it should happen.

## Use product interest to prepare the conversation.

## Ask for the one detail that moves the quote forward.

Some enquiries are clear about the product but short on quantity or delivery details. Ask for what your team actually needs to price the order. Avoid sending a long questionnaire when one short reply would do.

If the buyer is still comparing options, offer the specification or sample information they need. Agree on a sensible time to check back. A useful answer earns another conversation; repeated generic reminders rarely add anything.

### When the buyer has asked for a quote

> Hi Riya, thanks for asking about 50 Arc chairs. Which city would we be delivering to? I’ll check freight and send the quote with the current lead time.

## Review outcomes as well as activity.

After the first round of follow-up, look at which conversations became replies, quotes, samples and orders. Compare that with the products and staff activity in your expo report. A large contact list is useful only if your team can act on it.
